What is a Dealer Management System?

Definition

A dealer management system (DMS) is the operational software a vehicle dealership or distributor uses to manage vehicles, customers and deals in one place. It records stock by VIN, tracks status and location, manages leads, quotations, bookings and sales orders, allocates vehicles to customers, controls finance, insurance and registration workflow, and governs delivery.

The term is used interchangeably with dealership management system, dealer management software and automotive DMS. In practice, what separates a real DMS from generic business software is that it understands vehicle-specific concepts: a VIN is not just a product code, a reservation is not the same as an allocation, and a vehicle that is physically in the yard is not necessarily available to sell.

Where the definition varies is at the edges. In mature franchise markets, a DMS typically starts when the vehicle arrives from the national distributor. In import-led markets — the UAE, the wider GCC, much of Africa — the dealer often is the distributor, so the system has to start much earlier: at demand planning, the factory order and the shipping line.

Deal desking

Quick answer

Deal desking is building and approving the entire customer deal on one controlled screen: vehicle price, discount, accessories and additional work, trade-in, booking amount, down payment, finance and insurance amounts, registration and fees, producing a total customer deal and a visible operational margin before approval.

Without a deal desk, the components live in different places: the discount in a WhatsApp thread, the accessories on a workshop job sheet, the trade-in in an appraisal file, the finance amount at the bank desk. Nobody sees the whole deal until it is already agreed.

Why it matters commercially

What is PDI?

PDI stands for pre-delivery inspection: the structured check a dealership performs on a vehicle before handing it to the customer, covering condition, cleanliness, functionality, fluids, accessories fitted and documentation. In AutoFixia, PDI is one of several inspections rather than the only one.

Registration workflow

The term "automotive ERP" is sometimes used for a DMS with integrated finance. It is a reasonable description of the AutoFixia DMS plus AutoFixia Finance combination, but the DMS on its own is not an ERP and is not marketed as one.
