Journey stage 08

One Customer View. One Connected Deal.

Automotive CRM built inside the dealer management system, so a lead, the vehicle it becomes interested in and the VIN it eventually converts to all live on one record instead of three.

Why dealerships need automotive CRM, not general CRM

Quick answer

General CRM software models people, companies and opportunities. A dealership also needs to model vehicles: a specification a customer wants, a reservation held against stock, a specific VIN allocated to their order, and a delivery that depends on finance, insurance and registration. When the CRM cannot represent those objects, a second system appears — and the two must then be reconciled by hand.

The vehicle is part of the relationship

A customer is not interested in "an opportunity worth X". They are interested in a specific model, trim and colour, and whether it will arrive before a particular date. A CRM that cannot see stock cannot answer that.

The handover destroys context

When a lead converts, ownership typically passes to sales admin, then F&I, then delivery. Each handover in a disconnected system loses the history of what was discussed and promised.

Attribution needs the outcome

Knowing which campaign generated leads is useful. Knowing which campaign generated delivered vehicles requires the CRM and the deal to be the same record.

Lead capture, assignment and response

How do car dealerships manage leads?

Well-run dealerships bring every lead source into a single pipeline with the source recorded, assign each lead to a named salesperson, set a follow-up task immediately, and measure the time between lead creation and first contact. Leads that are not assigned and not measured tend to be worked in order of convenience rather than order of value.

Sources handled

  • Website enquiry and configurator submissions
  • WhatsApp enquiries, which in UAE and GCC markets are often the largest single channel
  • Social and paid campaign leads with campaign attribution
  • Walk-in enquiries logged at the showroom
  • Referral leads from existing customers and partners
  • Portal and marketplace leads where a connection exists

What happens to a lead

  1. Lead created with source, requested specification and contact details
  2. Assigned to a salesperson by rule or manually, with manager visibility
  3. Follow-up task created; lead aging clock starts
  4. First contact logged, setting the response-time measurement
  5. Qualification, with a structured lost reason if it does not proceed
  6. Vehicle configuration and available inventory search
  7. Test drive request and scheduling where relevant
  8. Quotation, then booking, then sales order — all on the same record

Response time as a managed number

Why it matters

Vehicle buyers usually contact more than one dealership. The first substantive response tends to shape the conversation, so elapsed time to first contact is one of the few sales inputs a manager can directly control.

  • Response time measured per lead, salesperson, source and branch
  • Lead aging visible so nothing sits unworked
  • Follow-up tasks and reminders against every open lead
  • Communication history across calls, WhatsApp and email
  • Appointment management with showroom visit tracking

Test drive management

  • Test drive request, scheduling and vehicle allocation from the demo or test fleet
  • Driving licence and customer document capture before the drive
  • Start and return with mileage and fuel or charge status
  • Condition check on return, with damage recorded if found
  • Customer feedback captured against the lead
  • Test drive to booking conversion tracked as a metric

Customer 360

What is Customer 360 in a dealership?

Customer 360 is a single view of everything the dealership knows about a customer: profile and documents, every enquiry, quotation, booking and delivery, vehicles owned or traded in, communication history across channels, salesperson ownership and deal history. In a DMS it also connects to the vehicles themselves, so the customer record and the VIN record reference each other.

What the record holds

  • Customer profile with contact detail and preferred channel
  • Customer documents with category, status and expiry where relevant
  • Duplicate customer controls so the same person does not exist three times
  • Vehicles owned, financed, traded in and currently on order
  • Every enquiry, quotation, booking, sales order and delivery
  • Full communication timeline across calls, WhatsApp and email
  • Salesperson ownership with history when ownership changes
  • Deal history including approved discounts and finance arrangements
  • Post-delivery follow-up and handoff into aftersales service history
On data minimisation. AutoFixia captures the documents a dealership genuinely needs for a deal, finance application and registration. It does not encourage collecting personal data beyond that, and access to customer documents is controlled by role.

CRM measurement that means something

Because the CRM sits inside the DMS, conversion can be measured all the way to a delivered vehicle rather than stopping at a closed opportunity.

Metrics available from the CRM, and what each one is actually useful for.
MetricDefinitionWhat it tells a sales manager
Lead response timeLead creation to first logged contact attemptWhether the team is working leads or working convenience
Lead agingDays a lead has been open without progressionWhere the pipeline is silting up
Lead source performanceLeads, bookings and deliveries by sourceWhich channels produce vehicles, not just enquiries
Quotation-to-bookingShare of quotations converting to a confirmed bookingWhether pricing or product availability is the constraint
Test drive conversionShare of test drives converting to a bookingWhether the drive is being used as a closing tool
Lost reasonsStructured reason recorded when a lead or deal is lostWhether losses are price, stock, timing or competitor driven
Booking-to-deliveryDays from confirmed booking to customer handoverWhether the back office is keeping pace with sales

Automotive CRM FAQs

Not usually, if the DMS includes proper automotive CRM.

The reason dealerships end up with both is that generic CRM software cannot represent vehicles, reservations, allocations and deals, so a separate system gets bought for the sales side. AutoFixia includes CRM inside the DMS specifically to avoid reconciling a lead in one system with a VIN in another.
